Third Party Payments

Third Party Payments

If a third-party agency is paying for tuition, fees, textbooks, etc. on behalf of a Central Lakes College student, the agency must provide a written authorization to CLC before the final payment due date** each term. Authorizations received after the final payment due date subject the student to payment plan fees and late fees.

Examples of organizations and programs that fund students who attend our college are:

Veterans Educational Benefits

Vocational Rehabilitation Services

Rural Minnesota CEP

NE Job Training

For more information, contact the appropriate agency directly.

All authorizations must include the following:

  • Sponsored student’s name and Central Lakes College student identification number or Star ID
  • Amount of the sponsorship
  • Allowable charges the sponsor will pay, such as tuition, fees, required books, required supplies, tools, etc.
  • Sponsorship period. Note: If the effective term(s) or date(s) are not indicated, the effective period will be the current term of enrollment. The College does not notify the student or sponsor when authorization expires.
  • The order of payment (i.e. Should the award be paid out before or after other financial aid (gift aid);
  • Sponsor’s name and billing address
  • Contact name, phone number, and email address
  • Purchase order numbers, work order authorizations, or other billing codes, if applicable.

Mail or email authorizations (vouchers) to:

*Note: Authorizations received after the semester ends will not be accepted and the student will be responsible for all charges.

Central Lakes College will invoice the third-party agency after the Federal Pell Lock date each semester*** and after recording the third-party authorization award on the student’s account. Funding from third-party agencies is considered financial assistance, so the authorization amount is included in a student’s overall financial aid award package.

Nondisclosure of student information

All third-party agencies must not disclose student information without written consent from the student in compliance with the Family Educational Rights and Privacy Act (FERPA). See CLC Policy 3.2 (https://www.clcmn.edu/college-policies/3-2-student-data-privacy-policy-procedure-2/) and CLC Procedure 3.2.1 (https://www.clcmn.edu/college-policies/3-2-1-student-data-integrity-ferpa-and-mgdpa-policy-and-procedures-2/).

By accepting funding from a sponsoring agency, students authorize the College to release information to the agency related to tuition, fees, bookstore charges, financial aid, grades, and enrollment. This authorization is in effect for the semesters funded by the third-party agency.

Revoking an Authorization

A third-party agency may revoke current financial support for any student by sending the College an official notification by mail or e-mail. The sponsor is responsible for notifying the student that the sponsorship has been canceled and that the student is now responsible for paying his/her bill. Revocation does not apply retroactively. Upon notification, the student will be expected to pay all outstanding charges. Until the charges are paid, the student’s account may be subject to late payment sanctions, including an assessment of late payment charges, inability to register for future terms, cancellation from classes, etc.

Central Lakes College reserves the right to revoke partnerships with third-party agencies that are delinquent in paying their invoices.
