Telephone Instructions

General Information

Speakerphone Capability: Cisco phone models 7941, 7942 have two-way speakerphone capabilities.  Cisco phone models 7911, 7912 do not have two-way speakerphone capabilities.  They are listen only (useful for checking voice mail).

Long Distance Codes: A four (4) digit long distance code is required for all long distance calls.  Contact the Business Office to obtain a long distance code or for problems.  Long distance calls are charged to your department’s cost center.

To Make a Call:

  • Using the handset – lift the handset and dial the desired number
  • Using the speakerphone – press the speaker button and dial

Dialing:

  • Internal extension: Dial the four digit extension number
  • Local Call: 9 + the number
  • Long Distance: 9 + 1 + the number (enter four digit long distance code when prompted)
  • International: Only limited phones allow international calling – check with Tech Services if you need to make a international call.
  • Redial last number called: press the Redial softkey

Receiving a Call:

To Answer a Incoming Call:

Lift the handset or press the answer softkkey

To Answer a 2nd call while on a call:

Press the answer softkey.  The original caller will be placed on hold while you are connected to the second caller.

To return to the original caller:

Press the scroll up/down buttons to select the original call and then press the resume key.

Disconnecting a Call:

  • Replace the handset on the cradle -or-
  • Press the EndCall softkey -or-
  • Press the Speaker button (if using the speakerphone)

Transferring a Call

Transfer allows you to transfer a call to another extension

To transfer an active call:

  • Press the Transfer softkey
  • Dial the extension or telephone number where you want to transfer the call

– Press the Transfer softkey again to immediately transfer the call -or-

– If the called party answers, you may talk privately with them and then press the Transfer softkey to transfer the call -or-

– If the called party doesn’t answer, press the Transfer softkey to transfer to their voice mail

Conferencing

Conferencing allows you to connect multiple people on a single call

To add a person to an existing call:

  • Press the More softkey
  • Press the Confrn softkey to place the existing call on hold and provide dial tone
  • Dial the extension or phone number of the person you would like to add
  • After the person answers, press the Confrn softkey to join the calls together.
  • Repeat these steps to add more people to the call.

Call Forward – All Calls

Call forward allows you to forward incoming calls to another number

To enable Call Forward All Calls:

Press the CFwdAll softkey and dial the extension or phone number for the destination (a message will appear on the phone display indicating forwarded to and the extension)

To cancel Call Forward All Calls:

Press the CFwdAll softkey (The message on the phone display will disappear)

Call Forward – To Voice Mail

Call forward to voice mail allows you to forward all incoming calls to voice mail

To enable Call Forward to Voice Mail:

Press the CFwdAll softkey and then press the Messages button (a message will appear on the phone display indicating forwarded to Voice Mail)

To cancel Call Forward to voice Mail:

Press the CFwdAll softkey (The message on the phone display will disappear)

Hold

Hold allows you to place a call on hold and resume the call from the same phone

To place the current call on hold:

Press the Hold softkey

To retrieve a call on hold:

Press the Resume softkey

Call Park

Call Park allows you to place a call on hold and resume/pick up from any phone

To Park a Call:

Press the More softkey until the Park softkey is visible

Press the Park softkey  (The system parks the call at a extension beginning with 77 and displays on screen)

To Retrieve a Parked Call:

Lift the handset of a different phone and dial the call park extension from above

Adjusting Volume

Ringer Volume: With the handset in the cradle, adjust the volume up/down buttons

Handset Volume: With the handset removed from the cradle, adjust the volume up/down buttons

Speakerphone Volume: Press the Speaker button and adjust the volume up/down buttons
